License My Company Data

Can our QuickBooks history be licensed to AI companies, and how do we get it out?

Updated October 25, 2026 · How we research

Possibly, but bookkeeping data is sensitive and only some buyers want it, usually de-identified. QuickBooks Online's Export data tool bundles chosen reports and lists into Excel files in a zip, and some transactions can be exported from their own pages. Some buyers instead connect with read-only access.

What is in QuickBooks, and why would buyers want it?

QuickBooks holds the chart of accounts, customer and vendor lists, invoices, bills, estimates, purchase orders, payments, and the reports built from them. It shows how a business actually records money moving in and out.

AI companies building finance and bookkeeping tools may value real transaction patterns, categorization choices, and memo fields. They generally want these with names and account numbers removed.

Usually in scope

  • Work conversations about operations
  • Tickets, tasks and project histories
  • Process documents and SOPs
  • Orders, invoices and workflow records, de-identified
  • Code repositories you own outright

Commonly left out

  • HR, payroll and personnel files
  • Board, legal and M&A material
  • Direct messages and private channels
  • Data you hold for customers under contract
  • Health, financial-account or other regulated personal data
You set the scope in writing: which systems, which dates, and what is excluded. Check customer contracts and privacy duties with your lawyer.

How does a QuickBooks Online export work?

As of October 2026, Intuit's help article explains these options:

  • Settings, then Export data: choose reports and lists and a date range, and QuickBooks exports them as Excel files in one zip.
  • Estimates and purchase orders can be exported from their transaction pages with filters.
  • Customer statements export as PDF; selected attachments can be exported in a batch.
  • The chart of accounts, recurring templates, and products and services lists can also be exported.

Who should run it?

Intuit's export article does not say which user roles can export. In practice, have the company's primary admin or accountant run the export so the scope is controlled. Do not let individual staff download and share books.

Is a file export required?

Some buyer programs connect to QuickBooks Online through an app instead of using the Excel export. Accounting apps often ask for broad access, so check whether access is read-only, which companies it covers, and whether bank feeds or payroll come with it. Ask how copied data is deleted, and disconnect the app when the work ends.

What should stay out?

  • Bank account and routing numbers, card numbers, and tax ID numbers.
  • Payroll, employee pay, and benefits.
  • Customer and vendor names and contact details, unless de-identified.
  • Attachments such as receipts and contracts, which may contain personal data.
  • Records for clients whose contracts require confidentiality.

What rights questions apply?

A small company's books name real customers, vendors and employees, often alongside their balances, bank details and pay. QuickBooks lets you export your own records, but privacy laws, customer contracts and confidentiality duties can still limit licensing. If an outside bookkeeper or accounting firm keeps your books, check what your agreement with them says too. Talk to your lawyer and your accountant before you share anything.

Where should you start with QuickBooks data?

Talk to your accountant before anyone exports, both to confirm what the company file holds and to flag tax or confidentiality issues. Decide whether payroll and bank feeds are out (most companies exclude them) and which years are in scope. A sample of categorized transactions with names and account numbers removed is usually enough for a first conversation.
