License My Company Data

Can our Google Workspace history be licensed to AI companies, and how do we get it out?

Updated October 25, 2026 · How we research

Often yes, if the company owns the rights and screens out personal and restricted content. Organization-wide exports are run by a super administrator using Google's Data Export tool, or by staff with Vault export privileges. Some buyers instead connect with read-only access approved by an admin.

What lives in Google Workspace, and why is it valuable?

A Workspace account usually holds the company's email (Gmail), documents, spreadsheets and slides (Drive), chat (Google Chat), calendars, and group mailing lists. Together they record how deals were won, how problems were solved, and how processes were written down.

AI companies value long-running, real business writing: email threads with context, finished documents, and the drafts and comments behind them. Older, well-organized records with clear outcomes tend to be the most useful.

What export tools does Google provide?

As of October 2026, Google documents three main tools:

  • Data Export tool: exports some or all of an organization's data to a Google Cloud Storage archive. Google says only super administrators can start it, the admin needs 2-Step Verification, and the super admin account must be at least 30 days old. Exports take at least 48 hours, usually about 72, and files in Google's default storage are deleted 60 days after the export starts. Gmail, Drive and Chat data needs an active subscription to be exported.
  • Google Vault: exports copies of data matched by a search in a Vault matter, covering Gmail, Groups, Chat and Drive. Google says users need Manage Matters, Manage Searches and Manage Exports privileges, assigned by an admin. Vault export files stay available for 15 days.
  • Google Takeout: lets individual users download their own data. Google says Workspace admins can control which products users may download from.

Who has to be involved?

For an organization-level license, a super administrator is normally required. Google says organizations with more than 1,000 users should contact Workspace support before using the Data Export tool. Google says exports can be narrowed by user, service and date range, which helps keep the scope tight. Filtering by organizational unit or group needs certain editions, and a filtered export leaves out shared drive content, which comes only with a full organization export.

Takeout is meant for a single person's data and is not a good fit for licensing company records. Individual employees should not export and license company mail on their own.

Is an export required?

Some buyer programs skip the export and ask a Workspace admin to authorize an app with read-only access scopes. Prefer scopes limited to the users or shared drives in the license, and avoid domain-wide access to every mailbox. Ask where copied data is stored and how it is deleted, and remove the app's access in the Admin console when the work ends.

What should stay out?

  • Mailboxes of HR, legal, finance, and executives, unless reviewed.
  • Personal email that employees sent from work accounts.
  • Customer personal data such as addresses, ID numbers, and payment details in mail or sheets.
  • Health, benefits, and payroll files.
  • Documents covered by NDAs (nondisclosure agreements) or customer contracts that bar reuse.

What about rights?

Google's terms generally let a Workspace customer export its own data. Whether you may license that data is a separate question. Email from customers and partners, employee personal data, and contract limits can all restrict reuse. Read our guides on who owns the data and on de-identification, and speak with your lawyer.

Where should you start with Google Workspace data?

Confirm who your super administrators are and whether your subscription will stay active, because Google excludes core service data such as Gmail and Drive from a Data Export when the subscription is canceled or suspended. If the company is winding down, plan any export before cancelling Workspace; see What should you do with company data when closing a business?. Then decide which organizational units and date ranges are in scope before anyone authorizes an app.

Common questions

Can an employee just use Takeout?

Takeout is for an individual's own data. Licensing company records should go through an administrator and a signed license, not personal downloads.

How long does a Data Export take?

Google says it is available no sooner than 48 hours after it starts, typically about 72 hours, and can take up to 14 days.

Can we export only some departments?

Usually. Google says exports can be filtered by user, service and date range; filtering by organizational unit or group depends on your edition. Shared drives are only included in a full export.

Are former employees' accounts included?

Google says a full Data Export includes suspended and archived accounts and Vault Former Employee accounts, but not deleted data unless Vault kept it. Check with your lawyer before including departed staff.
