License My Company Data

Can our ServiceTitan history be licensed to AI companies, and how do we get it out?

Updated October 25, 2026 · How we research

Possibly, if your company holds the rights and keeps homeowner details out. ServiceTitan's help docs describe exporting search results, such as job lists, to Excel, but only for employees an administrator has given export permission. Some buyers prefer to connect directly, and ServiceTitan allows only certain integration paths.

What lives in ServiceTitan, and why might buyers value it?

ServiceTitan is field service software used by trades such as HVAC (heating, ventilation and air conditioning), plumbing, electrical and roofing. Over the years it collects booked calls, dispatch history, job records, technician notes, estimates with good-better-best options, invoices, memberships and equipment histories for each site.

Buyers building tools for the trades may value how real jobs unfold: what the customer reported, what the technician found, which option was sold, and how long it took. Technician notes and estimate histories usually carry the most signal. They also carry the most personal detail about homes and the people living in them.

Usually in scope

  • Work conversations about operations
  • Tickets, tasks and project histories
  • Process documents and SOPs
  • Orders, invoices and workflow records, de-identified
  • Code repositories you own outright

Commonly left out

  • HR, payroll and personnel files
  • Board, legal and M&A material
  • Direct messages and private channels
  • Data you hold for customers under contract
  • Health, financial-account or other regulated personal data
You set the scope in writing: which systems, which dates, and what is excluded. Check customer contracts and privacy duties with your lawyer.

How does a ServiceTitan export work?

As of October 2026, ServiceTitan's help center describes these pieces:

  • Search-result exports: after running a job search, a user can export the results to an Excel (.xlsx) file.
  • Export permission: an administrator or manager must switch on the option that allows exporting search results for each employee, under the employee's permission settings. Without it, the export button is not available.
  • Reports: reporting permissions are managed separately from other office permissions. A user needs access to both the report template and its category to run a report.
  • Business units: a user without access to a business unit sees no data for it in reports. An export run by a restricted user can therefore be incomplete without any warning.

Who has to run it, and what is unclear?

Plan on an administrator, both to grant export permission and to confirm the person running exports can see every business unit in scope. The help articles reviewed for this page do not describe a single full-account export, and they do not say whether exports include notes, photos or attachments. For several years of history, ask ServiceTitan support what bulk options your package includes before agreeing a scope with a buyer.

Can a buyer connect instead of taking files?

Instead of receiving files, some buyers ask to connect to the account itself. ServiceTitan describes two approved paths: Certified Apps, which ServiceTitan reviews for security and which connect without you handing over App Keys, and Customer-Built Apps, which you build and host with your own App Keys on The Works or Enterprise Plus packages after requesting an integration environment.

ServiceTitan prohibits what it calls tunneling: giving a third party the use of your App Key, for example by creating an app and handing over its key. It says it may ask you to disconnect integrations like that. If a buyer asks for an App Key, ask which approved path it uses instead, limit what it can read, and plan to revoke access when the work ends.

What should stay out?

  • Homeowner and tenant names, addresses, phone numbers and emails.
  • Gate codes, alarm codes, lockbox codes and pet or health notes that technicians sometimes type into job notes.
  • Call recordings and photos taken inside homes.
  • Payment details and financing applications.
  • Technician pay, performance scores and GPS location history.
  • Commercial customers whose contracts bar reuse of their information.

What rights questions apply to ServiceTitan data?

Two sets of terms matter. First, your ServiceTitan agreement: read its data-use and third-party access sections, since the integration rules above show the vendor cares who touches account data. Second, your customers: job histories describe people's homes, so privacy laws and any commercial service contracts can limit licensing even after names are removed. Recorded calls raise their own consent questions. See our guide on employee and customer privacy and talk to your lawyer.

Where should a trades company start?

List your business units and check which ones have consistent technician notes. A narrow scope, such as completed jobs with notes and estimates for one trade, is easier to clean and review than the whole account. Run a small test export to see which columns actually come out, then decide what de-identification is needed. Trade-specific context is on our HVAC and plumbing industry pages.

Common questions

Can any office user export from ServiceTitan?

No. ServiceTitan's help center says an administrator or manager must turn on export permission for each employee.

Can a buyer use our API key?

ServiceTitan prohibits letting third parties use your App Key. Ask the buyer whether it uses a ServiceTitan Certified App or another approved path.

Are technician notes worth more than invoices?

Often, because they describe the actual work. They also need the most cleaning, since they can contain codes and personal details.

Do we need homeowner permission?

It depends on your privacy notices, contracts and the laws that apply to you. Ask your lawyer before including customer-related records.
