License My Company Data

Can our Notion or Confluence history be licensed to AI companies, and how do we get it out?

Updated October 25, 2026 · How we research

Often yes, if the company owns the content and removes HR, legal and customer material first. Notion offers a full workspace export to HTML, Markdown or CSV (comma-separated values, a plain spreadsheet format) from its settings, and Confluence Cloud offers a site backup from Backup manager. Some buyers instead connect with read-only access.

What lives in a company wiki, and why do buyers care?

Notion and Confluence hold a company's written knowledge: how-to guides, standard procedures, meeting notes, project plans, product specs, and decision records. Comments and page history show how documents were reviewed and improved.

AI companies value this because it is organized, explanatory writing about real work. Procedures and specs with clear structure tend to be most useful.

How do you export from Notion?

As of October 2026, Notion's help center says a workspace export is started from Settings, General, using Export all workspace content. It produces HTML, Markdown or CSV plus uploaded files. Notion emails a download link that expires after 7 days, and processing can take up to 30 hours.

  • Pages the person exporting cannot access, such as other members' private pages, are left out.
  • Enterprise workspace owners can turn exporting off.
  • Databases export only the current or default view; form views cannot be exported.

How do you export from Confluence Cloud?

Atlassian's support site says a backup is created from Confluence administration under Settings, Data management, Backup manager. Attachments are included if selected. Atlassian recommends that a site admin run it so all user data is included.

Atlassian notes that only one backup file is kept at a time, the download link lasts 14 days, and the backup can be up to 30 GB plus 800 GB of attachments. Spaces in the trash and database content are not included.

Is a connector easier?

Some buyer programs connect to the wiki rather than taking an export. Wiki connectors generally see only the pages and spaces they are shared with, so sharing just the agreed spaces or teamspaces keeps scope tight. Ask where copies are stored and how they are deleted when access is removed.

What should stay out?

  • HR policies about specific people, performance notes, and salary tables.
  • Legal and board pages.
  • Customer lists, account notes, and client deliverables.
  • Pages holding passwords, keys, or system credentials.
  • Content you licensed from others, such as purchased templates or training material.

What rights questions apply?

Both vendors' terms generally let customers export their own content. The open question is whether every page is yours to license. Wikis often hold copied third-party material, client documents, and contractor work. Check our guide on who owns the data and ask your lawyer.

Where should you start with wiki data?

Walk through your spaces or teamspaces and tag each as internal process, client-related, or HR and legal. Pages under purchased templates or pasted vendor material need a separate rights check. Because Notion's export skips pages the exporter cannot see, decide who runs it so nothing unexpected is included or missed.

Common questions

Does Notion's export include private pages?

Notion says pages the exporter cannot access, such as other users' private pages, are excluded.

How long do download links last?

Notion's link expires after 7 days. Confluence keeps the backup link for 14 days.

Are Confluence databases included?

Atlassian says database content is not included; databases appear in the page tree without their content.

Can we license only some spaces?

Yes. A connector shared with selected spaces, or a filtered export, keeps scope narrow.
