Can our AppFolio history be licensed to AI companies, and how do we get it out?
Possibly in part, but property management records are dense with tenant and applicant information, and much of it may belong to the property owners you manage for. AppFolio's property manager help content is not public, so confirm export steps inside your account or with AppFolio. Third-party connections go through AppFolio's approved partner program.
What lives in AppFolio, and why might buyers value it?
AppFolio is property management software for residential, commercial and association portfolios. Accounts typically hold properties and units, leases, rental applications, tenant ledgers, work orders and maintenance notes, vendor bills, owner statements, inspections and messages with residents.
Buyers building tools for real estate operations may value maintenance histories and the back-and-forth around them: what was reported, who was sent, what it cost and how long it took. Leasing and resident communications are also rich, but they are the most personal records in the system.
Usually in scope
- Work conversations about operations
- Tickets, tasks and project histories
- Process documents and SOPs
- Orders, invoices and workflow records, de-identified
- Code repositories you own outright
Commonly left out
- HR, payroll and personnel files
- Board, legal and M&A material
- Direct messages and private channels
- Data you hold for customers under contract
- Health, financial-account or other regulated personal data
How does an AppFolio export work?
This could not be confirmed from AppFolio's own public documentation. The only public AppFolio help page found for this page is written for residents using the online portal, and AppFolio's terms pages did not display their text when reviewed. Property manager instructions appear to sit inside the logged-in product.
Ask AppFolio support, or the person who administers your account, three questions: which reports and lists can be exported to a spreadsheet, whether a bulk historical extract is available and at what cost, and which user roles can run exports.
Can a buyer connect to AppFolio directly?
Some buyers would rather connect to the account than receive files. As of October 2026, AppFolio describes an API (application programming interface) for software partners in its Stack partner program. Partners apply, AppFolio reviews the application, the partner completes a security questionnaire and signs AppFolio's terms, and only then is the integration published in AppFolio's marketplace.
That means a buyer generally cannot simply plug in. Ask any buyer proposing a connection whether it is an approved AppFolio partner, what data it would read, and whether AppFolio's terms allow the use you are discussing.
What should stay out?
- Tenant and applicant names, contact details and Social Security numbers.
- Rental applications, income documents, and credit or background screening reports, which carry their own legal limits.
- Tenant ledgers, bank details and payment history tied to individuals.
- Notes that mention disability, family status, health or other sensitive traits.
- Owner financial statements and owner contact details.
- Vendor tax IDs and banking information.
Whose data is it?
Property managers usually act as agents for owners, and management agreements often say the property's books and records belong to the owner. If so, you may need each owner's written agreement before licensing anything about their buildings. Tenant information adds privacy obligations on top, and fair housing concerns make any notes about tenants sensitive. See our guide on who owns the data and talk to your lawyer.
Where should a property manager start?
Start with your management agreements, not the software: sort owners by what their contracts say about records. Then ask AppFolio what you can export. Work order histories with tenant details removed are often the easiest records to clear. More context is on our property management industry page.
Common questions
Can we export tenant data and remove names?
Removing names may not be enough, since addresses, unit numbers and notes can still identify people. Ask your lawyer before including tenant records.
Do owners have to agree?
Often, if your management agreements say the records belong to the owner. Check each agreement.
Can any software company connect to AppFolio?
AppFolio describes an application, security review and signed terms for API partners. Ask any buyer whether it has completed that process.
What records are easiest to license?
Maintenance and work order histories with personal details removed are often simpler than leasing or tenant records.
Are vendor and work order records free of personal data?
Not always. Work orders often name tenants, give unit numbers and describe access instructions, so they still need cleaning.
